How Do You Choose When Everything Is A Priority?

Priority How Do I Choose When Everything Is Important And Urgent?

Do you find that you are overwhelmed with a whole lot of ideas and items on your to do list, and you don’t know where to start?

I have found the Priority 2×2 Matrix my best friend when it comes to productivity, performance and effective output.

There are two great Priority 2×2 Matrix that will help you find clarity, speed up the decision making process and manage your time more effectively:

  1. IMPORTANCE vs URGENCY
  2. IMPACT vs EFFORT

IMPORTANCE vs URGENCY

When there is a sense of urgency and overwhelm, I first start with IMPORTANCE vs URGENCY. Start by creating a 2×2 grid (adapted from President Dwight Eisenhower) with IMPORTANCE on the y-axis (vertical) and URGENCY x-axis (horizontal). Then place your ideas or to-do item’s in the grid according to their IMPORTANCE and URGENCY. 

  1. High importance, high urgency (Top right box)
  2. High importance, low urgency (Top left box)
  3. Low importance, high urgency (Bottom right box)
  4. Low importance, low urgency (Bottom left box)
Priority How Do I Choose When Everything Is Important And Urgent? Importance and urgency

Choose the top 3 priorities that are positioned in the in the far right and highest point of the top right box (high importance / high urgency), and use these as your three tasks to complete today or first (if they will take longer than one day). After you have completed tasks in box #1, then you will need to determine which tasks in box 2 or 3 are more important. The IMPACT vs EFFORT Priority 2×2 Matrix will assist you in making this decision.

Sometimes it is really challenging to differentiate between the tasks, when they all feel important and urgent. That’s when the IMPACT vs EFFORT Priority 2×2 Matrix, becomes your go to tool to find clarity.

IMPACT vs EFFORT

Create a 2×2 grid (adapted from President Dwight Eisenhower) with IMPACT on the y-axis (vertical) and EFFORT x-axis (horizontal). Then place your ideas or to-do item’s in the grid according to their IMPACT and EFFORT. 

  1. High impact, high effort (Top right box)
  2. High impact, low effort (Top left box)
  3. Low impact, high effort (Bottom right box)
  4. Low impact, low effort (Bottom left box)
Priority How Do I Choose When Everything Is Important And Urgent? Impact and effort

Choose the top 3 priorities that are positioned in the far left and at the highest point of the top left box (high impact / low urgency), and use these as your three tasks to complete today or first (if they will take longer than one day). After you have completed tasks in box #2, then you will need to focus on tasks in box 1.

It is really important that you only choose a maximum of 3 tasks to complete each day, no matter whether you use the IMPORTANCE vs URGENCY or IMPACT vs EFFORT Priority 2×2 Matrix.

It’s time for you to find clarity, make a decision and own your time!

You own your own stories, no one else has lived them and they are unique to you. Take full grasp and ownership of those unique stories.

What is your unique reality in the past, what story are you living now and what is your future vision?

  1. Am I living my own life or someone else’s rules?
  2. Are you content with your past or is it holding you back?
  3. How can I own the narrative, the story in my head, and be in control of my future story?

Mike Nishi – Chicago Marathon Beyond The Race

Mike Nishi is the General Manager of the Bank of America Chicago Marathon, a global leader in environmentally sustainable events, and is described as professional, highly organised and forward thinking leader. A dedicated family man, he is an avid runner and cyclist, completed his first ever Chicago marathon at the tender age of 13 years old, and is a board member for Girls on the Run Chicago

He started out as an intern, while at school, before becoming an employee for the Chicago Event Management company in 1989. Currently, his role is Executive Vice President of Business Development and Operations looking after the organisation of the Chicago Marathon, J.P. Morgan Corporate Challenge, Girls on the Run and the Nike Breaking2 project in 2017.

His role oversees the production of all Chicago Event Management events with a particular focus in event operations, emergency response and sustainability logistics. Over a decade a go he founded the Race Management Program, ten years ago, to provide an intimate forum for race organiser’s to share ideas and find solutions to create unforgettable event experiences.

Active CEO Performance Tip

SINGLE-task Not Multi-task For Productivity – If you try and multi-task, our brains move too fast, we lose focus and take on too much. In fact, the brain can’t actually multi-task and what it actually does is task switching. If you are task switching to often or too quickly, it slows down your response time and prevents you from completing tasks quickly, if at all. Break down your work into single tasks and block your time accordingly to the highest priority tasks. First, write down all your tasks. Second, prioritise your tasks according to low, medium and high priority. Third, schedule time specifically for high priority tasks first, in your calendar. Then delegate all medium and low priorities where possible. Plan your day so that you can single task to get the best productivity and performance as a leader.

Over the past 25 plus years, she has taken on and conquered the world’s toughest endurance events and expeditions including the Sahara and Gobi deserts, Himalayas and Niger, however none of those extreme events even come close to her greatest life challenge, where it took a relentless approach to saving her mums life. She is an absolute force of nature and true warrior leader, in every essence of human kind, who loves to put the body armour on and take GRIT and a Relentless approach to life to a whole nuther level.

Her education includes a Bachelor of Applied Management in sports Management from Otago Polytechnic, National Certificate in Business Studies for Carrington Polytechnic Auckland and a Certificate in Counselling & Human Relations (social work) from Western Institute of Technology.

Imagine the University of life you gain when you cover over 70,000 km of running across some of the poorest, most dangerous and challenging stretches of earth including a life-changing argument with your partner while illegally in the Lybian desert, losing your mind in Death Valley one of the hottest places on earth, running the length of New Zealand, that’s 2,200km, and pushing your mind and body beyond belief every single day.

Jason is a best-selling author of Social Wealth, TEDx Wilmington Speaker, and Executive Coach who has worked with transformational leaders such as Steve Jobs, Mark Cuban and Reed Hastings. Leadership Overwhelm – As a leader, have you ever felt completely overcome in mind or emotion, where you feel a stress or combination of stressors are too big for you to manage? This is the feeling of overwhelm. Everyone experiences some level of overwhelm and the important thing to remember, is that it is all manageable. Rather than fighting your feelings of overwhelm you can accept that anxiety is like riding a wave and it will be easier; learn to turn overwhelming thoughts into helpful thoughts; shift your thoughts from having to complete everything right now to focusing on one thing at a time; identify what you need to be present with right now; take a deep breath to relax the body; and most importantly engage in an action that you enjoy before rushing into solve the trigger of overwhelm. Start taking control of your overwhelm today.

Kate Maree O’Brien – Tenacious Spirit Of An Entrepreneur

Kate is a woman who lives and breathes personal leadership, overcome addiction and social anxiety, delivers breakthroughs, smashes through glass ceilings, and is the founder of SHE – Australasia’s largest women’s leadership and empowerment event. She is a highly regarded leadership coach, sought after speaker, who is known for her down to earth teachings and no BS approach to getting results. Known as a visionary performance leader, Kate tells it as it is, loves playing it big, empowers women to take charge of their life, and is living life to her fullest with her beautiful family in Bali.

Rising from depression, bulimia, anorexia and drug use, she has thrown everything into gaining her life back and making a positive difference to many peoples lives. She has served as a clinical nurse educator in New Zealand, curated two phenomenal conferences, SHE and GameChanger Global Summit, and collaborates with worldwide personal transformation leaders such as Jack Canfield and Brendon Burchard.
